Causeis Launchpad

A Success Story with Jobs Australia

The following success story focuses on Jobs Australia, who like many organisations in the association space, found themselves hindered by cumbersome day-to-day processes, a disconnected tech stack, as well as limitations when it came to their data tracking and segmentation capabilities.

Jobs Australia recognised the urgent need to adopt a contemporary Association Management Solution to streamline their operations, to enhance member engagement, and ultimately, to grow and remain competitive.

After a thorough evaluation process, Jobs Australia chose Causeis Launchpad powered by iMIS as their new Association Management Solution, and the catalyst for their digital transformation journey moving forward.

Jobs Australia were able to share a few of these metrics in the month's following their Launchpad deployment:

  • Remarkably, 5 new Members (in December) through the new portal. Very rare for that time of the year, shows ease of process.
  • 214 registrations for 3 events with almost no promotion. Again, ease of process.
  • 2,592 automated communications out to Members. This is 2592 touchpoints that would have previously been manual or non-existent.
  • Improved efficiency by at least 50% due to reduction on manual tasks. This will increase over time once knowledge of the system increases across the board. Stemming across the board from finance, membership, events, comms.

Driving Forces Behind the Decision

Jobs Australia's decision to implement Causeis Launchpad was rooted in addressing several key objectives and challenges.

Speaking with Brit Steers, Digital Marketing and Communications Coordinator at Jobs Australia;

Our existing database was severely outdated and poorly managed, significantly hindering our ability to effectively segment data. This limitation was a major setback for our organisation, as data segmentation is crucial for targeted marketing and member engagement strategies.

Additionally, we were grappling with the inefficiencies of using around five separate, non-integrated systems. This lack of integration resulted in countless hours spent on manual updates, a process that was not only time-consuming but also prone to errors.

In their search for a solution, Jobs Australia had prioritised finding a system that could seamlessly integrate their various data sources, offer robust data segmentation capabilities, and introduce a high degree of automation to reduce manual labour.

Jobs Australia had also wanted to ensure that the database they chose was suitable for company memberships, rather than just individual.

Causeis Launchpad emerged as the standout choice for several reasons.

Firstly, it offered an advanced level of integration that promised to consolidate our systems into a single, cohesive platform. This integration was key to streamlining our operations and improving efficiency.

Secondly, Causeis Launchpad's sophisticated data segmentation tools were exactly what we needed to enhance our marketing and member engagement efforts.

Finally, the automation features of Causeis Launchpad were a game-changer for us, promising to significantly reduce manual workloads and improve accuracy.

Job Australia aimed to seamlessly integrate disparate systems, enhance data segmentation capabilities, and introduce automation to reduce manual workloads.

Causeis Launchpad stood out for its advanced integration, robust data segmentation tools, and automation features, aligning perfectly with Jobs Australia's objectives.

Strategic Resource Allocation

Recognising the significance of the project, Jobs Australia allocated several dedicated resources internally to ensure a successful implementation.

A multidisciplinary working group, including representatives from Jobs Australia’s finance, membership, and executive leadership teams was formed – all underpinned by the oversight of a Project Leader from Jobs Australia’s side.

This strategic resource allocation enabled focused attention on the implementation process, ensuring a timely deployment.

We firmly believe that this strategic allocation of resources was a key factor in the project's success. The efficiency and effectiveness of Causeis's processes, combined with our dedicated resource allocation, allowed us to complete the project without any delays, even launching ahead of the scheduled go-live date.

This experience underscored the importance of thoughtful resource management in achieving project objectives, particularly in a small team environment like ours at Jobs Australia.

Flattening the Learning Curve and Lessons Learned

Reflecting on the implementation process, Jobs Australia identified valuable lessons that could benefit others embarking on similar journeys – particularly with regards to system adoption.

A key strategy employed early was to ensure that all impacted teams dedicated sufficient time to learning the ropes of the new system and were encouraged to ask the necessary questions.

Jobs Australia had identified that it was crucial to address potential issues during the implementation phase, as questions and concerns that were not raised at this stage would surface later, complicating the process, spoke Brit;

This situation often stemmed from a lack of awareness about what to inquire about, highlighting the importance of thorough system exploration and testing by teams.

By deeply engaging with the system, teams could identify relevant questions, leading to a more effective and comprehensive implementation process.

To further combat this issue, comprehensive demonstration videos tailored to each team's requirements were created, accompanied by in-person training sessions and practical hands-on exercises throughout the Launchpad implementation project.

Additionally, 'how-to' documentation, prepared specifically for Jobs Australia’s system configuration, was created to serve as a reference for staff post-implementation.

These proactive measures helped mitigate challenges associated with learning curves and resistance to change, ensuring a seamless transition to the new platform.

Tangible Results and Positive Impact

The implementation of Causeis Launchpad yielded immediately tangible results and positive feedback from both internal stakeholders and Jobs Australia’s members.

Within days of going live, operational efficiency saw a significant boost with the streamlining of processes, automation of tasks, and enhanced data management capabilities.

Member feedback highlighted the platform's user-friendly interface, accessibility, and improved communication channels.

Notably, Jobs Australia experienced an increase in member onboarding, even during traditionally slow periods, underscoring the platform's effectiveness.

Remarkably, in December, we welcomed five new Members through the new portal! This is an unusual achievement for December, but the streamlined processing facilitated their smooth onboarding.

Future Growth

Looking ahead, Causeis Launchpad is poised to contribute significantly to Jobs Australia's long-term growth and success in many ways, including:

  • Member Self-Service: The new portal's ease of use, as evidenced by the successful onboarding of new members even in typically slow months like December, indicates a positive impact on Jobs Australia’s member experience moving forward. Members now can independently update their contact details, saving considerable time for both members and staff.
  • Streamlined Operations: The automation of emails and member onboarding processes has significantly streamlined Jobs Australia’s operations and ensured timely, effective communications. This efficiency not only improves staff productivity but also enhances the overall effectiveness of the organisation.
  • Enhanced Data Management: The introduction of staff dashboard within Launchpad, along with improved reporting and data segmentation, has transformed Jobs Australia’s approach to data management. This will allow for more targeted marketing and member engagement strategies, which are essential for growth and success in today's data-driven environment.
  • System Integration: Previously, Jobs Australia relied on five main systems (including a CMS, CRM, MailChimp, Eventbrite, and Xero) that did not integrate or speak to each other. Now, with integrated systems, Jobs Australia have eliminated the need for external hosts like Eventbrite, as all events are managed within Launchpad. This integration has also simplified the measurement of analytics, which previously required manual collation.
  • Financial Efficiency: The generation of manual invoices, once a common task, is now minimal thanks to automated processes like pro-rata billing.
  • Advanced Segmentation: With the assistance of Causeis, Jobs Australia have successfully set up detailed segmentation groups based on services provided, programs, contact roles, locations, etc.
  • Data Importing: Using the iMIS Data Management Suite, importing data has proven extremely beneficial and efficient.
  • New Features: The introduction of an online jobs board, member mapping directory, and a resource and video library has added significantly to Jobs Australia’s member value proposition, contributing to the organisation's attractiveness and competitiveness. These new features have also helped to create new streams of non-dues revenue for Jobs Australia.

Tracking Success with Key Metrics

To measure the ongoing success and impact of Causeis Launchpad, Jobs Australia has identified key performance indicators (KPIs) across several performance areas.

These include member engagement metrics, data segmentation efficiency, operational efficiency indicators, automation impact, member onboarding, retention rates, and user experience feedback.

Given the tenfold increase in touchpoints for member engagement, tracking metrics such as member interaction frequency, engagement rates on communications, and participation in events or initiatives will be crucial.

Measuring the reduction in manual workloads and the improvement in process accuracy due to automation features will also be key. This could include metrics like the number of automated tasks completed, time saved due to automation, and error reduction rates.

By tracking these metrics, Jobs Australia aims to continually assess the platform's effectiveness, drive improvements, and optimise outcomes for all stakeholders – the association, its staff, and most importantly, its members.
